Building Management Services

The functions involved in the building management services would, inter alia, include;
  1. Regular inspection of buildings;
  2. The employment and supervision of staff;
  3. The employment of sub-contractors (in conjunction with the owners);
  4. The inspection of all work performed;
  5. The regular repair and maintenance of the building;
  6. The control of tenants and tenant Associations;
  7. The control of tenant installations.

These are established by
  1. a regular report back system on the various aspects as mentioned above;
  2. recommending the most effective methods to ensure the efficient functioning of the building;
  3. employing and controlling suitably qualified cleaning, security and maintenance staff and/or sub-contractors;
  4. The control and administration of security on the premises.
  5. The control and administration of cleaning of the premises.
  6. Establishing budgets for monthly expenditures, tenant installations and refurbishment and undertaking the efficient execution thereof.
  7. The execution and control of all normal and preventative maintenance required on the premises.
  8. Liasing regularly with tenants to ensure a balanced relationship between tenant and landlord.
  9. Negotiating on rentals and renewals in close liaison with the owners.

Building Administration

This service covers, inter alia, the
  1. arranging for the reading of electricity and water meters and calculation of tenants apportionment of costs;
  2. calculation and apportionment off all operating costs;
  3. reconciliation and payment of all accounts for building expenses;
  4. preparation and despatch to tenants of monthly statements;
  5. collection of rentals and ancillary amounts from tenants and the banking of such monies directly into a Trust Account which is operated and controlled in terms of the Estate Agents Act and is subject to the Estate Agents Board Fidelity Fund requirements and independent audit;
  6. preparation and submission of monthly income and expenditure reports, rent rolls, disbursement statements, SDL and VAT returns;
  7. transfer of surplus funds to the account of the owner directly from our Trust Account after closing off each month, either by E F T or cheque. Should the owner so desire arrangements can be made for an earlier monthly advance payment of monies due.

Marketing and Promotions

This company will ensure that the property is optimally let, marketed and promoted and will be responsible for all aspects of tenant’s negotiations. We have a team of in-house Brokers who are actively and permanently in touch with the market place and are thus able to ensure the above.

We also specialise in the valuation of properties and evaluation of rentals. We believe that, particularly in the latter category we can be of great help in the establishment of market related rentals for all premises.

To ensure this, it is important that the buildings present a favourable appearance. This is obtained by ensuring that vacated premises are properly cleaned out immediately so that any prospective tenants receive a good impression on viewing available space and also by maintaining the property in a clean and tidy manner. It is also important that a quick response time to all tenants complaints is achieved so that a good relationship with all tenants can be maintained.

Ensuring that the property is optimally let will be achieved by;
  1. marketing of vacant space through in house and outside brokers in addition to advertising in the normal manner;
  2. undertaking a special marketing program in conjunction with the landlord should it become necessary. An example of such a special marketing program is the appointment of a dedicated Broker to your Building/Portfolio. This Broker will only be involved in the marketing of the vacant space and procuring tenants specifically for your Building/Portfolio. The basis on which such a Broker would be appointed will be discussed with you in detail at a formal meeting between ourselves;
  3. being responsible for all aspects of tenant negotiations and liaison.

Financial Services

The company has the ability to maintain efficient and updated control of all aspects of a building at all times.

An item of vital importance to all owners is the feedback received from the Managing Agents on its buildings. We are able to produce management reports on, even a daily basis, if so required, of income and expenditure disbursements, rent collections, arrears reports, vacancy reports, lease expiry reports and many others which can be tailored to suit the owners requirements.

These reports would, in the normal course of business, be produced on a monthly basis.

We have the ability to provide many and varied management reports some of which are as follows;
  1. A full set of financial accounts pertaining to the building at any frequency required by the owner;
  2. Monthly income and expenditure reports;
  3. Monthly budgets and budget comparison reports;
  4. Projections of income and expenditure for future periods.
It may be of interest to know that a feature of our computer program, that would be of benefit, is that at the cost of installation of a modem and telephone line, you could be given 24 hour access to your portfolio. This would ensure that you would at all times be fully informed of all financial aspects relating to your buildings.
